Afternoon Activities 2016/17 – Rules

Our “Afternoon Activities” courses are only for members of the ESF Parents’ Association.

The following rules apply to all afternoon activities:

All children must be registered again for all activities at the beginning of each new school year.

The places available for each activity will be allocated again at the beginning of each new school year.

Parents should select activities and rank them in order of preference (first choice, second choice, third choice, etc.). It should be noted that each level of preference can be assigned to only one activity.

Course places will be allocated on the basis of these preferences.

Where there are more applications than places, children not allocated a place will be put on a waiting list.

Where there are more applications with the same level of preference than places available, places will be allocated at random.

Where applications are submitted after the closing date and there are still places available, these places will be allocated on a “first come, first served” basis.

Where a place in an activity becomes available and more than one child is on the waiting list, the recipient of that spare place will be decided at random.

If an activity cannot take place for any reason, the Parents' Association will inform parents 24 hours in advance. In this case, only children whose parents have booked Childminding in addition to afternoon activities will be looked after by the Childminding service. If an activity is cancelled at short notice, all children will be looked after by the Childminding service.

Parents registering their children for afternoon activities do so on the understanding that if an activity is cancelled at short notice (less than 24 hours before), their children will be looked after by the Childminding service. Parents thereby recognise the rules governing the Childminding service, as well as the Childminding service’s requirements in relation to the prevention of infection.

All activities will run for the entire school year, unless:
- a teacher ceases to be available and the Parents’ Association is unable to find a replacement;
- there are not enough children participating.

All children who have been given a place in an activity at the start of the school year can attend this activity for the whole of the year. They do not need to have their parents register them again at the start of every new term.

Some children will be escorted to and from the courses, depending on their class level and on the location of the course. Details will be included in the course registration confirmation. Children being looked after by the Childminding service will be informed by staff before activities begin.

All prices can be regarded as final, in the absence of any indication to the contrary.

The prices of activities may change at the beginning of each term, as they are based on the number of participants and the Parents’ Association needs to ensure that they remain financially viable.

All applications for afternoon activities received by 24 June 2016 will be taken into account in the allocation of places.

No activities will take place on the last school day before the Christmas, Easter and summer holidays.

After all holidays, with the exception of the summer holidays, activities continue in the first week back at school.

Parents can cancel their children’s participation in activities at the end of each term (i.e. at the beginning of the Christmas and Easter holidays).

All activities end automatically at the end of the school year.

Children can be registered for activities at any point during the school year, provided that there are still places available.

Applications have to be done online on this website.

Amendments to bookings and cancellations must be made to: Office@ESFParents.org.

Once applications have been submitted and places have been allocated by the Parents’ Association, activities must be paid for. Any cancellations prior to 23 September 2016 will incur a cancellation fee of €20 per activity.

Activity fees will be debited from the bank accounts of Parents’ Association members at the end of each term.

Please note that activities do not begin until Monday, 12 September 2016.

If a child will not take part in a course on a particualr day, parents need to inform the Parents' Association and Childminding at least three hours in advance via email.
