What are Parent Activities?
Parent Activities are activities which take place at EuroKids Village and are exclusively available to parent association members with children at the European School Frankfurt.
How can I register for Parent Activities?
These can be applied for online under www.eurokids.gmbh
Parents must be a member of the European School Frankfurt Parents’ association to apply for activities.
Can I try out activities mid year or mid trimester?
Yes, for a trial day at any time please apply online. All trials of activities are subject to space being available. Due to the high number of applications throughout the year, applications should be made at least 1 week in advance of the preferred trial date. If parents do not wish to continue with a club after a trial of 2 weeks out team should be informed via office@eurokids.gmbh No charge
How long does the extra-curricular contract last and when and how can I terminate it?
After a 2 week trial period, the contract then lasts for one school trimester and will automatically be extended for another trimester if not terminated by cancelling online (see below).
The contract will also extend into the next school year e.g. Trimester 3 into Trimester 1 if this is not cancelled prior to the end of the 3rd trimester. During the 2 week free trial period, the contract can be cancelled any time without charge.

If you wish to make reductions or changes to Parent activities, these can be made up to 1 week prior to the end of each school trimester and take effect from the following Trimester.
How do I pay for Extra Curricular Activities?
Activities are booked at the end of each school trimester, after the activities have taken place. Parents will receive a SEPA notification mail detailing costs which will be debited from the account which was provided in your Parent Association membership application.

Are there times when activities do not take place?
No activities take place on days when the ESF school is closed, the last day before the Summer and Winter breaks and the first week of school after the Summer Break. We try to avoid cancellations (due to teacher illness etc.. ) during term time wherever possible, through provision of alternative teachers.
Will I still be charged if a certain activity does not take place?
No, activities are calculated on the number of weeks they take place and booked from parents accounts at the end of each trimester.
Do I have to do anything if I am on an activity waiting list?
No. Our team will contact you as soon as a place becomes available in your chosen activity. If the group remains fully booked and we receive enough interest for an activity we may contact you with the opportunity to join a new activity group at a different time.
Why are some activities more expensive than others?
Costs for activities are determined by the cost of staffing, equipment and administration of the club. All activities are run on a non-profit basis.
We have introduced new terms and conditions to ensure that Extra Curricular Activities can continue to function in the best way possible. These can be found online.

1. What are Extra Curricular Activities?
Extra Curricular Activities are meaningful, structured lessons which take place after school. These lessons are run by external teachers and are designed to meet a wide range of children’s needs in the areas of sports, dance, creativity, STEM (Science Technology Engineering Mathematics), music, and language.
2. Where do activities take place and where do I collect my child?
Generally, activities take place in the School Modular Building for Nursery & P1 children and at EuroKids Village for children P2 and up. Some activities also take place on the School premises (e.g. School Sports Hall).
Parents can collect their children at these locations at the end of their child’s activity.
3. How can I register for Extra Curricular Activities?
Extra Curricular Activities are exclusively available to members of the Parents Association. PA Membership can be applied for here

4. Can my child immediately start going to the activity once I have completed their registration?
No. Once you have completed the registration process, please wait for the administration team to confirm your registration. Your child's activity starting date is included in their confirmation email.
5. Do I have to do anything if I receive an email that my child is on an activity waiting list?
No. Our team will contact you as soon as a place becomes available in your child’s chosen activity. If the group remains fully booked and we receive enough interest, we may contact you with the opportunity to join a new activity group at a different time.
6. How long is the waiting list valid for?
One academic school year. If you have registered your child on a waiting list for an activity e.g., Tennis, this waiting list application will be valid for one school year e.g., 2023-2024. In the case parents are interested in tennis for the following school year 2024-2025 a new waiting list application will need to be made.
7. Can my child try out Extra Curricular Activities throughout the year?
Parents can apply for Extra Curricular Activities throughout the school year. All mid-year activity registrations are subject to space being available and pedagogical considerations, e.g. how far other children in the activity have already progressed and whether it makes sense for a newcomer to join at that stage in time. Our registration and cancellation deadlines are listed in FAQ 9 and 10.
8. How long does a registration for Extra Curricular Activities last?
As a rule, Extra Curricular Activity registrations automatically renew themselves each school year, with the following exceptions:
- when children become too old for an activity, e.g. Early Musical Education is only available for Nursery and P1 children
- when parents cancel the activity for the next trimester.
The first trimester is September-December, the second trimester is January-Easter and the third trimester is Easter-Summer Break. We remind parents via email when cancellation deadlines are approaching.
During the first 3 weeks of a school year, the Extra Curricular Activities can be cancelled at any time and will be charged only for one month.
9. What are the Registration Deadlines for 2023/24?
1st Trimester
31.08.23- to start an activity in September 2023
24.09.23 – to start an activity in October 2023
24.10.23 – to start an activity in November 2023
20.12.23 – to start an activity in January 2024
No new registrations are accepted in November 2023 to start in December due to the Christmas Break.
2nd Trimester
24.01.24 – to start an activity in February 2024
24.02.24 – to start an activity in March 2024
20.03.24 – to start an activity in April 2024
3rd Trimester
24.04.24 – to start an activity in May 2024
24.05.24 – to start an activity in June 2024 (and possibly continue the following school year)
If registration deadlines are not met, children will not be able to start the next month, but in 2 months time.
10. What are the Cancellation Deadlines for 2023/24?
1st Trimester
24.09.23 – Activity, Childminding and School Bus deadline for Trimester 1 (September – December 2023)
20.10.23 – activity that started in October 2023
24.11.23 – activity that started in November 2023
15.12.23 – Activity, Childminding and School Bus deadline for Trimester 2 (January – Easter 2024)
2nd Trimester
21.01.24 – activity that started in January 2024
25.02.24 – activity that started in February 2024
17.03.24 – Activity, Childminding and School Bus deadline for Trimester 3 (Easter – Summer Break 2024)
3rd Trimester

Parents will be contacted via email to be informed which of their children's activity registrations will be continuing the following school year. If parents wish to cancel them, the cancellation deadline is 28.06.2024. Otherwise, charges will apply for September 2024.
First week of June 2024 – New Extra Curricular Activities for 2024/25 go live.
If cancellation deadlines are not met, charges will apply for the remainder of the trimester.
11. How do I cancel an Extra Curricular Activity?
Sign into your Parent Association account at:

• Navigate to the Extra Curricular Activities page, under 'Manage Registrations' (left side bar) select 'view history/cancel/edit registrations'. Click on activity and select cancel.

12. Why might an activity be cancelled during the school year?
EuroKids is a non-profit organization. In order to offer sustainable services to the ESF community, we ensure that activities are at least break-even and do not incur losses. If an activity does not meet the minimum level of participants, either the activity price must be increased, or the activity needs to be cancelled.
13. How do I pay for Extra Curricular Activities?
Extra Curricular Activities are calculated per year and payable over 10 equal monthly instalments (from September to June). These payments are debited from the PA Member’s account in the month after the services have taken place. Parents will receive a SEPA notification mail detailing costs which will be debited from the account which was provided in their Parent Association membership application.
14. How is the monthly charge for the activities calculated?
The fee charged for the ECA is the monthly fee, in accordance with our Terms and Conditions. Cancellations made within the first period/trimester cancellation deadline (September of each year) are charged with the monthly fee.
ECA lesson prices are multiplied by the number of weeks the lessons are scheduled to take place in a year. This yearly price is then payable over 10 equal monthly instalments (from September to June).
e.g., EuroKids Athletics on Wednesdays costs 10 € per lesson. This takes place 35 weeks of the year.
10 (Euros) X 35 (weeks) = 350 € (Yearly Price)
350 (Yearly price) divided by 10 (monthly instalments) = 35 € (Per month from September-June)

16. Are there times when activities do not take place?
No activities take place on days when the ESF is closed, the last day before the Summer and Winter/Christmas Breaks and the first week of school after the Summer Break. We try to avoid cancellations (due to teacher illness etc.…) during the school year wherever possible by providing lessons with substitute teachers. When this is not possible, Childminding services are provided.
17. Will I still be charged if a certain activity does not take place?
In cases where activities are cancelled during the school year without a substitution, the fees for the Activity will not be charged as of the 3rd time the Activity does not take place.
Childminding services are provided for children at no additional cost, in the unlikely event of activities not taking place.
18. What happens if I am late picking up my child?
After an activity has ended, children who are not collected by parents are brought back to our Childminding services. For parents of children not registered with Childminding, additional costs will be charged if parents are late.
19. Why are Sports Activities not taking place earlier, directly after school?
Space is limited and EuroKids is very fortunate that the ESF offers its sports facilities for EuroKids Extra Curricular Activities after 16.00. Prior to this time the sports hall is being used for regular school sports lessons for secondary students.
20. What equipment does my child need to bring?
Parents will be informed via the reminder mail if there is anything their child needs to bring with them.
As a general rule:
• For language and music activities, the teachers will tell the children about the required books, materials and instruments.
• For sports, dance and performance activities the children need to wear appropriate sport clothing and bring a bottle of water. Special uniforms (e.g., for Judo) can be bought via the EuroKids administration team. For activities that take place in the sports hall, only shoes with white soles are allowed.
• For robotics and ICT, the teachers will provide instructions on any required software and additional material to be purchased.
• For creative activities, the teachers will provide information about any required materials.
EuroKids provides a significant amount of equipment for the activities wherever possible.
21. What are Activity Open Days?
Some activities host Activity Open Days, which are performances or exhibitions that parents are invited to watch. We will inform you via email if there is an upcoming Activity Open Day for your child.
Some activity groups or activity teachers also perform during the annual Summerfest. If this is the case, parents will also be informed ahead of time.
22. Am I charged if my child is ill or has a long-lasting health issue that prevents them from participating?
If your child is unable to attend for whatever reason, please inform us via email.
In the event of a short-term illness, e.g., a cold or a child is feeling unwell that day, the price of the activity will be charged as normal.
In the event of a long-term health issue, e.g., a broken arm which prevents a child from participating in sports activities, we will not charge parents if a doctor’s certificate is presented
If there is Covid infection and quarantine or an absence due to a high-risk family member, absences that last for one month will be treated as a “long-term health issue” without a charge (subject to doctor's certificate submission).
23. How can I give my feedback to EuroKids on the quality of the provided services?

A. GENERAL TERMS AND CONDITIONS
§ 1 General

The EuroKids gGmbH („EuroKids“) is a charitable limited liability company of the Parents Association of the European School Frankfurt am Main („Parents Association“) which provides following services for its members and their children:

Holiday Camps
-
School Bus to and from the European School Frankfurt Am Main

Extra Curricular Activities.

Parent Activities

The majority of these services are performed by service providers which have been chosen and appointed by EuroKids.

These services can be used by members of the Parents Association (members) for pupils of the Pre-Primary, Primary and Secondary of the European School Frankfurt am Main as well as by themselves and their spouse in accordance with these general terms and conditions.

The general terms and conditions of paragraph A. apply to all provided services, in so far as nothing in the special terms and conditions for the individual services listed in paragraph B. contradicts this.
§ 2 Registration, contract formation and contract duration

The registration for individual services takes place via the EuroKids website (www.eurokids.gmbh).

The members are responsible for providing complete and accurate information in their registration. The legal guardians are obligated to immediately inform EuroKids of any changes.
-
A contract with EuroKids for individual services is only finalized when EuroKids confirms the contract formation with the members in writing or email.
-
Contracts for individual services are valid until the end of the schoolyear and prolong themselves for a further schoolyear unless they are cancelled within the time frame of [§ 4].
§ 3 Payment Terms
-
The fees for services are due in advance and will be charged from the bank account that the legal guardians provided on the basis of the SEPA withdrawal granted.
-
The fees for the services are also to be paid for sick days and missing days, if these occur short-term or temporarily.
§ 4 Cancellation
-
Contracts for individual services can be cancelled by each party up to a week before the last school day of the trimester. These are the ordinary cancellation rights.
-
Each party can cancel the contractual relationship without notice for an important reason. For EuroKids an important reason can especially consist of the following:

When the members do not fulfill their payment obligations despite warning,
-
In case of other significant offences by the members contrary to this contract,
-
When member’s behavior endangers their own safety or that of other people,
-
In the event of a change of the legal status or other circumstances, which make the provision of services impossible for EuroKids.

Contracts for parent activities may be cancelled during the first 3 weeks of a new school year. Cancellations during this period will incur no charges.
-
All cancellations must take place either in written form or via email.
§ 5 Declarations to EuroKids and the legal guardians

Communications from EuroKids to the members will be sent to the contact details provided in the registration.

§ 6 Miscellaneous

The contracts and general terms and conditions are subject to German law.
-
The German versions of all contracts and the general terms and conditions are legally binding.

Should any clause be wholly or partially incorrect, invalid or unenforceable, the validity and enforceability of all other clauses remains untouched. The invalid or unenforceable clauses are to be considered as replaced by the valid and enforceable clauses, which come the closest to resembling the invalid or unenforceable clauses in meaning and purpose. The same applies to the filling of potential gaps in this contract.

EuroKids and Childminding do not take any responsibility for any objects of value except in cases of willful or grossly negligent behavior by employees.
§ 7 Registration

For the registration for Parent Activity services the following are valid in addition to the clauses in § 2.

After their registration, the legal guardians will receive an automatically generated registration confirmation per E-Mail, with an overview of the information provided in the registration.

A contract with EuroKids is considered finalized only after confirmation from EuroKids in writing or per E-Mail.
B. PARENT ACTIVITIES
§ 7 Object
-
Parent Activities offer a variety of courses, e.g. in the areas Dance, Art and Sport, which are provided by EuroKids throughout the schoolyear in cooperation with different service provider and organizations.

A description of the offered courses can be found on the EuroKids website (www.eurokids.gmbh)

The start date of the courses after the summer holidays will be included in the registration confirmation. All courses begin in the second school week after the summer holidays, if there is no information to the contrary.

During the holidays of the European School Frankfurt am Main, on public holidays, and school-free days there are no Afternoon Activities taking place. On the last school day
before the Christmas and summer holidays there are no courses taking place. After all
holidays, excluding the summer holidays, the courses continue directly in the first school week.
§ 8 Registration and Place allocation
(1) The registration for the Afternoon Activities takes place via the EuroKids (www.eurokids.gmbh) website.

The course places are assigned according to a first-come, first-served basis.
-
If there are more registrations than places, the members who did not receive places will be placed on a waiting list. If a course place becomes available and there is more than one member on the waiting list, a lottery will decide over who receives the free place.

If registrations arrive after the deadline and there are still free places available, these places will be assigned on a first-come, first-served basis.
§ 9 Cancellation of Extra Curricular Activities
1) EuroKids reserves the right to cancel individual courses, if for example a teacher is not available and EuroKids is unable to find a substitute or if the number of participants in a course is too small.
§ 10 Costs

The school year (10 months) is divided into three trimesters (September-December, January-Easter, Easter-July). The exact dates of the trimesters are listed on the website of the European School Frankfurt am Main.

The costs for Extra Curricular Activities that the members are calculated per day per trimester and are debited at the end of each trimester.

The prices for Extra Curricular Activities listed on the EuroKids website (www.eurokids.gmbh) are binding. EuroKids reserves the right to alter prices in the event that the cost of providing the offered services significantly changes for EuroKids. EuroKids will inform the members ahead of time about each change. In the event of a price change the members have extraordinary cancellation rights.
School Transport FAQs

1. What is the School Transport service?
EuroKids runs both a School Bus and door to door minibus service for children of members of the ESF Parents’ Association, both in the morning and in the afternoon. In the morning, buses and mini-busses are scheduled to arrive around 08:15h. In the afternoon, buses are scheduled to leave at 15:20h (Monday-Thursday), 13:20h (Friday) as well as 16:25h and 17:30h (Monday-Friday).
2. What routes are there?
The current bus routes can be viewed on our Transport home page.
3. What time does the bus arrive?
Parents will be contacted with specific drop off and pick up times at the beginning of the school year. In the morning and in the afternoon, parents and children are requested to be at the listed bus stop around five minutes before the listed time.
4. How can I register?
Members of the ESF PA can register their children on the school bus or minibus registration page.
5. How does my child get to their class from the morning buses?
In the morning the school buses and minibuses are welcomed by school teachers. PP, P1 and P2 children are collected by the teachers and escorted to their classes in the modular building. Children from P3 upwards independently walk to their classrooms by themselves.
6. How does my child get to the afternoon school bus/ mini bus?
- For buses leaving directly after school: PP, P1 and P2 children are collected by ESF school teachers and escorted to the buses. Children in P3 and up need to come to the bus by themselves.
- For buses leaving later (after EuroKids services):
- PP and P1 children are escorted to their bus by EuroKids staff.
- Children in P2 and up will be escorted to the bus by EuroKids staff if their activity takes place in EuroKids premises. Otherwise, they will independently make their way to the bus.
7. Who do I contact if my child misses the morning bus?
In the case children use minibus services, parents should contact our minibus driver (Köhler-transfer).
In the case children use school bus services there is no need to contact anybody. If a child does not arrive for the morning bus the bus will leave without the child.
8. Can I make changes regarding my child's school transport services?
Changes can only be made 1 week in advance. In the case children use school bus or minibus services, if there are changes for the child’s afternoon bus schedule, please contact office@eurokids.gmbh by 12:00h on the Thursday of the previous week, by filling the form below. No changes are possible in the first 2 weeks of the school year.

9. Can I track the whereabouts of a bus?
EuroKids, in cooperation with transport providers, runs a bus tracking system that shows the whereabouts of the bus. The system is based on Whatsapp and uses Google Maps. Parents registered for transport services receive links to the Whatsapp groups.
10. Can my child walk home alone from the bus stop after school?
Parents need to state in their registration if their child is allowed to leave the school bus/ minibus without a pickup person. To communicate changes, please contact office@eurokids.gmbh.
11. What happens if a child is not picked up from the afternoon school bus/minibus?
If a child is not picked up, the bus driver/EuroKids will try to contact the parents to solve the problem. Solutions will depend on the situation:
- The bus will wait, if possible, at the given bus stop, if the pickup person indicates he/she will arrive within a minute.
- The bus will take the child to the last bus stop and the pickup person must go there to pick up the child.
- If the bus is scheduled to return to the school for a later trip, the child remains on the bus for a later pickup. That means the child will spend a long time on the bus.
- The child will be taken to the bus driver’s home. Fortunately, this has never happened.

14. How should my child behave on the bus?
We have created guidance which can be discussed with your child prior to them using our transport services.
Parents can find all bus rules on the school bus page of the EuroKids website.
15. Why are there no transport services from where I live?
Transport routes are planned to meet parent demand, depending on the amount of children and the area they live in. Unfortunately, the school parking lot only allows for three buses at the same time. Currently there are six morning buses which means three buses unload children while three buses wait in the street. More buses cannot be accommodated. We will do our best to accommodate new routes on our mini-busses, parents can apply for a non-binding 'expression of interest' on our minibus application and we will do our best to accommodate needs.
